Twin Hickory Elementary PTA General Membership Meeting

A meeting of the Twin Hickory Elementary School PTA General Membership was held on September 20, 2018. Kristi Lang called the meeting to order at 7:00 pm. Quorum was established.
The minutes from the last general membership meeting held on April 20th were posted at the gym entrance and on the PTA website. No corrections were noted. Minutes stand approved.
Our fiscal year runs from July 1st to June 30th. At the end of every fiscal year, we are required to have our financial records audited. Kristi thanked our treasurer, for all of the hard work keeping our finances in order and for preparing for the audit this year. This year the audit was completed by an independent auditor. A copy of the audit report was posted at the gym doors and was posted on the PTA website.
The audit was completed on August 3, 2018. The records of the treasurer of the Twin Hickory Elementary PTA were found to be correct.
It was moved and seconded that the audit report be adopted. The general membership voted and the audit was approved.
The proposed budget, recommended by the PTA Executive Board, for the current fiscal year of July 1, 2018 – June 30th, 2019 was posted at the gym entrance and on the PTA website. Due to strong fundraising numbers, lower expenses than budgeted last year, and delayed payments for technology resources we came into this year with a surplus of $20,836.73. Proposed income comes mainly from the Trailblazer Club campaign, Fall Festival, Business Partnerships, and Spirit Nights – for a total proposed income of $45,500. The main expense comes under Students, specifically for the Educational Resources. Other expenses come from Fall Festival, Classroom Publications, Agendas and Blazer Blast prizes, resulting in Total Expenses of $56,945.00. We propose to end the year on June 30th with net cash on hand of $9,391.23.
There were no proposed changes from the budget the PTA Executive Board presented.
It was moved and seconded that the budget be approved as presented. The general membership voted and the budget was adopted.
Kristi thanked the members of the audience who have already contributed to the Trailblazer Club and acknowledged how important the contributions are to make our school a success. She explained that the Trailblazer Club is the primary way for the PTA to raise funds for our school. Many of the things we take for granted—like the Digital Resources available for students, STEM supplies, the Learning Garden, Blazer Blast prizes, Purple Communication Folders, Agendas, and our Leveled Readers—are not funded by Henrico County. The PTA, through the Trailblazer Club, pays for these items.
Kristi reiterated that our fundraising goal for this year is $18,000. She also reminded the audience that several local companies, including Dominion, Verizon, McKesson and Carmax will match individual donations. Kristi thanked Trista Shah, our VP of Ways & Means, for collecting, processing and organizing hundreds of donations and for her hard work.
Kristi thanked the parents and families of Twin Hickory, for supporting the students and staff by donating to the Trailblazer Club!
Please note that our Fall Festival will be held on Friday, October 5th from 4:30-6:30pm. Our Fall Festival Chairs, Heidi Philyaw, Tracy Brooks, Ashley Dillon, and Joy Harris have planned A LOT of fun activities, games and even some surprises. It will be a fantastic way to celebrate the start to another amazing school year, so I encourage everyone to attend. You should be receiving information in the next week about ways to volunteer.
The next general membership meeting will be held on Monday, November 12th in the gym, followed by the 2nd grade performance.
