Twin Hickory Elementary PTA General Membership Meeting

December 14, 2017

A meeting of the Twin Hickory Elementary School PTA General Membership was held on December 14, 2017. Kristi Lang called the meeting to order at 7:00 PM. Quorum was established.

Minutes from the last general membership meeting, held on November 10, 2017, were posted at the gym entrance and on the PTA website.  No corrections were noted. Minutes stand approved.

The November Treasurer’s report was posted at the entrance to the gym and on the PTA website. No corrections were noted by the general membership. The report will be filed for audit.

Upcoming Events

  • Books for Bingo and the Reflections award ceremony will be held January 25th, 2018.
  • Doors will open at 5:45 PM, with the Reflections award ceremony beginning at 6:00 (following a brief PTA meeting). Bingo will start at 6:15 PM.
  • Students will receive a bingo card for each book donated, with prizes for the winners.
    • More details to follow, including Miss B’s library wishlist on nList, after Winter Break.

Trailblazer Club/ PTA Memberships

  • Thanks to everyone who has contributed to the Trailblazer Club.Our Trailblazer Club goal of $18,000 has been reached.
  • We are still 37 PTA memberships away from 100% participation.
    • Our goal is to have each student represented by a dues-paying member of the PTA. Thanks to all who have already joined.
    • In order for Mr. D to spend a day on the roof, we need 100% PTA membership.
    • PTA memberships are only $5. If you haven’t yet joined the PTA, please consider doing so.

Kristi thanked our Platinum level business sponsors (Dr. Gina Dyda-Schmid, Master Cho’s Tae-Kwon-Do, and Tutoring Club of Glen Allen).

There was no further business to discuss. The meeting was adjourned at 7:02 PM

The next general membership meeting will be held on Thursday, January 25th in the cafeteria, followed by the Reflections Ceremony and Books for Bingo.

November 10, 2017

A meeting of the Twin Hickory Elementary School PTA General Membership was held on November 10, 2017. Kristi Lang called the meeting to order at 8:33 AM. Quorum was established.

Minutes from the last general membership meeting, held on September 14, 2017, were posted at the gym entrance and on the PTA website.  No corrections were noted. Minutes stand approved.

The October Treasurer’s report was posted at the entrance to the gym and on the PTA website. No corrections were noted by the general membership. The report will be filed for audit.

Trailblazer Club

  • Thanks to everyone who has joined the PTA and contributed to the Trailblazer Club.
  • Trailblazer Club funds have already been used to purchase resources for the classrooms, support our Fall Festival and buy items for the Blazer Blasts.
  • We are only 40 PTA memberships away from 100% participation.
    • In order for Mr. D to spend a day on the roof, we need 100% PTA membership.
    • PTA memberships are only $5.  If you haven’t yet joined the PTA, please consider doing so.

Holiday Shop

  • Holiday Shop will be December 13 from 3:00 to 7:00 in the gym.
  • Please be on the lookout for an nList for volunteer opportunities.

Pipeline

  • The Pipeline is our PTA newsletter, which contains important information.
  • The contact information used for distributing the Pipeline is our online directory. Please make sure your information is up to date, and if you have not signed up for the directory, please do so.

Twin Hickory Elementary PTA General Membership Meeting

September 14, 2017

A meeting of the Twin Hickory Elementary School PTA General Membership was held on September 14, 2017. Kristi Lang called the meeting to order at 7:01 PM. Quorum was established.

Minutes from the last general membership meeting, held on May 25, 2017, were posted at the gym entrance and on the PTA website.  No corrections were noted.  Minutes stand approved.

Audit– The THES PTA Fiscal year runs from July 1 to June 30th. At the end of every fiscal year, we are required to have our financial records audited.

  • This year the audit was completed by an independent auditor, Mike Biester.  A copy of the audit report is posted at the gym doors and was posted on the PTA website. Mike Biester completed the audit on August 3, 2017.  He found the records of the treasurer of the Twin Hickory Elementary PTA to be correct.
  • A motion was made by Kim Loy to adopt the audit for the 2016-2017 school year. Seconded by Elizabeth Collins. The motion carried, and the audit was adopted.
  • Kristi thanked Cathy Parker, THES PTA Treasurer, for her work in helping to prepare the audit for this year.

Budget– The proposed budget, recommended by the PTA Executive Board, for the current fiscal year of July 1, 2017 – June 30th, 2018 is posted at the gym entrance and on the PTA website.

  • Due to strong fundraising numbers and lower expenses than budgeted last year, we came into this year with a surplus of $14,287.58.
  • Proposed income comes mainly from the Trailblazer Club campaign, Fall Festival, Fun Run, Business Partnerships, and Spirit Nights – for a total proposed income of $49,594.48.
  • The main expense comes under Students, specifically for the Educational Resources.  Other expenses come from Fall Festival, Classroom Publications, Agendas and Blazer Blast prizes, resulting in Total Expenses of $57,750.65.
  • We propose to end the year on June 30th with net cash on hand of $6,131.41.
  • No changes to the Budget were proposed.
  • A motion was made by Janelle Blankenship to adopt the proposed budget for the 2017-2018 school year. Seconded by Kim Loy. The motion carried, and the budget will be adopted.

Trailblazer Club

  • The Trailblazer Club is the primary way for the PTA to raise funds for our school. The PTA, through the Trailblazer Club, pays for things like Digital Resources available for students, STEM supplies, the Learning Garden, Blazer Blast prizes, Purple Communication Folders, Agendas, and our exciting new Leveled Readers.
  • Thank you to all of you who have already contributed to the Trailblazer Club!
  • Our fundraising goal for this year is $18,000.  As of today, we have raised $13,000!  We are only about $5,000 from our goal.
  • For those who have not yet joined, we are accepting payments tonight at the PTA table outside of the library and we can take credit cards tonight.  We accept donations for Trailblazer Club all year long, but to get free Fall Festival tickets with a Platinum or Gold membership you will need to sign up by tomorrow.
  • Also, please don’t forget your Corporate Matching Donations!  Several local companies, including Capital One, Dominion, Verizon, McKesson and Carmax will match your donation, and this is “free money” for our school!
  • Kristi thanked Janelle Blankenship, our VP Ways & Means, and Cathy Parker, our Treasurer for all of their efforts in collecting and processing Trailblazer Club donations so far this year.

Fall Festival

  • Fall Festival will be held on Friday, September 29th from 5:00-7:00pm.
  • The Coordinators have planned A LOT of fun activities, games and even some surprises.
  • More information will be coming home soon about the festival and volunteer opportunities.

A meeting of the Twin Hickory Elementary School PTA General Membership was held on May 25, 2017. Kristi Lang called the meeting to order at 7:00 PM. Quorum was established.

Minutes from the last general membership meeting, held on April 21, 2017, were posted at the gym entrance and on the PTA website. No corrections were noted. Minutes stand approved.

The April Treasurer’s report was posted at the entrance to the gym and on the PTA website. No corrections were noted by the general membership. The report will be filed for audit.

Reallocation​ ​of​ ​Funds

  • The Executive Board has voted to recommend two budget changes to the General
    Membership.

    • Transfer of $500 from STEM budget to the General School Project Fund (to be
      designated for the purchase of new library books).
    • Transfer all proceeds from the Fun Run to Digital Education Resources (for the purchase of leveled readers).
    • A motion was made from the floor to approve these changes. The motion was
      seconded. The General Membership voted to approve the budget changes.

Teacher​ ​Appreciation​ ​Week

  • Kristi thanked everyone for helping to make Teacher Appreciation week a success, with a special thanks to Heidi Philyaw for her organization of the week’s events.

Kristi thanked our Platinum level business sponsors (Master Cho’s Tae-Kwon-Do, Dr. Gina
Dyda-Schmid, and Class A Grounds Management).

There was no further business to discuss. The meeting was adjourned at 7:05 PM. The next general membership meeting will be held in September in the Gym, followed by Back-to-School Night.
